Information and purposes

Form information

Enquiry type, name, email and message; optionally organisation, timing, budget, project and reference links, together with acknowledgement of the policy.

Purposes

Responding to enquiries, meetings, estimates, proposals, agreements and production coordination. Any other use requires appropriate notice and procedures.

Information not to send

Use a shareable outline for the initial enquiry. Do not submit sensitive information such as health data, identification documents, private participant information or confidential material.

Submission route and storage

Form processing

Entries are processed through Formspree, Inc. and delivered as notifications to LORE at info@loreworks.jp. Submission history is also stored in Formspree.

Email correspondence

Messages are received through Google Workspace and automatically forwarded to the operator’s work email for handling. Copies may also be stored on the device used to read email.

Formspree may also process IP and browser information for delivery and abuse prevention. Japan-only storage or processing is not guaranteed. International processing is described below.

International processing

The services we use may store and process information outside Japan. Their published documentation describes the following arrangements.

Formspree

The service is hosted on AWS in the US. Its privacy policy also describes processing in other countries where Formspree operates.

Google Workspace

Data may be processed in countries where Google or its subprocessors have facilities, subject to applicable data-location commitments.

Cloudflare

For delivery and authentication data, its privacy policy describes storage primarily in the US and EEA, with worldwide transfers and access.

Privacy laws in these countries may differ from those in Japan. These are general provider descriptions, not an exhaustive list of processing countries for each item of data. See the providers’ documentation for details.

Sharing and safeguards

We do not publicly disclose or sell enquiry information. We do not provide it to third parties except with consent or where permitted by law. We review and manage the scope of handling by necessary service providers.

Safeguards include access restricted to the responsible operator, two-factor authentication, device locking and encryption, encrypted transmission, and deletion of information no longer needed.

Retention and deletion

Enquiries without a contract

Closed enquiries are retained for about one year after the last correspondence. Unneeded emails and managed copies are removed during quarterly reviews. Ongoing enquiries are excluded.

Contracted work

Records needed for agreements, rights and accounting are handled separately from ordinary enquiries. Their specific retention periods will be determined by their purpose and legal requirements.

Scope of deletion

We remove unneeded received and sent emails, forwarded and device copies, and remaining Formspree submissions. Provider logs and backups follow each provider’s retention and deletion processes.

Website data, cookies and links

Cloudflare delivers this site and processes IP addresses and traffic information for delivery and security. Restricted review pages use Cloudflare Access for email-based authentication and authorization cookies.

LORE has not added analytics, advertising tags or external video embeds. Form entries are not stored in application cookies or browser storage. Videos are site-hosted files. Page transitions temporarily use sessionStorage for display information, such as image positions; this does not include enquiry content.

External sites such as NECRITIC have their own policies. Clicking a link does not forward entries from LORE’s form to that site.

Access, correction and other requests

For privacy enquiries, contact info@loreworks.jp with your name, the email used, approximate enquiry date and requested action. We will verify your identity as needed. Do not attach identity documents or confidential material to the initial message.

We review requests for access, correction, deletion or restriction under applicable law and communicate the outcome. If retention duties or other grounds prevent the requested action, we explain why.
